Clearance Administrative Assistant II

Job Responsibilities: The Administrative Assistant II in the Clearance Office is responsible the processing of clearance paperwork, maintenance of investigator personnel records, responding to investigator general inquiries or external/internal inquires to an investigators status, clearance verification's, clearance terminations and overall clearance compliance for ADC LTD NM. The Administrative Assistant II will be responsible for auditing clearance records to ensure ADC is meeting clearance requirements as mandated by the federal government. Responsibilities include but are not limited to assembling, editing, and formatting investigator packets, maintaining up-to-date and accurate records of all investigator/employee information on an electronic database, processing visit requests through JPAS, requesting access requests for investigators and employees, providing follow-ups to any processes and/or status updates to ADC investigators and employees, high volume scanning and file maintenance.

Position:  Receptionist

Job Classification: Regular Full Time Employee

Position Summary: The Receptionist is responsible for attending to day to day operations in the front entrance office in greeting and assisting the general public, clients, customers, and staff.

Job Responsibilities:

  • Receptionist should be able to answer incoming calls in a professional and friendly manner, able take messages and forward them to the appropriate person.  Assist caller with their needs, and provide quality customer services. Able to answer multiple phone calls up to 5 lines.
  • Update the phone list at the appropriate times and distribute the list or upload to SharePoint.
  • Check in visitors by signing them in the “sign in log book” and checking for identification. Then notify the appropriate person or persons they have a visitor.
  • Check and accept mailings or packages and notify the appropriate person that they have a package. This includes receiving office supplies and alerting the Accounting department or the appropriate department and providing any incoming invoices to the accounting department.
  • Shred documents in the “documents to be shredded” bin.
  • Prepare letters and documents.
  • Receive, sort and distribute mail and deliveries.
  • Schedule appointments.
  • Organize meetings.
  • Maintain the front entrance office and reception area tidy.
  • Maintain and upkeep the office supply closet as well as ordering office supplies for all ADC employees.
  • Maintain the copy room with all FedEx supplies needed for all ADC employees.
  • Prepare FedEx labels to the appropriate person(s) for ADC employees as needed and packaging and preparing boxes for mailings.
  • All other duties as assigned.

Summary
The Human Resources Director is directly responsible for the overall administration, coordination and evaluation of the Human Resources Department including planning, managing human resource programs, directing staff and interfacing with the Vice President of Administration as well as work with other members of the Human Resources Team directly in all functional areas of Human Resources.

Essential Functions
  • Assist the Vice President of Administration and Executive Management in administration of the Human Resources Department and is directly responsible for day-to-day management and operations of the department.
  • Review and make recommendations to Vice President of Administration for improvement of ADC LTD NM's policies, procedures and practices on personnel matters.
  • Maintain knowledge of industry trends and employment legislation and ensure organization's compliance.
  • Responsible for organization compliance with federal, state and local legislation pertaining to all personnel matters.
  • Communicate changes in the organization's personnel policies and procedures and ensure that proper compliance is followed.
  • Assist the Vice President of Administration in the annual review, preparation and administration of the organization's wage and salary program.
  • Coordinate or conduct exit interviews to determine reasons behind separations.
  • Consult with legal counsel as appropriate, or as directed by the Vice President of Administration or Executive Management, on personnel matters.
  • Work directly with HR managers and department managers and supervisors to assist them in carrying out their responsibilities on personnel matters.
  • Recommend, evaluate and participate in staff development for the organization.
  • Develop and coordinate company-wide staff developments and training programs.
  • Lead a process of organization development that plans, communicates, and integrates the results of strategic planning throughout the organization.

  • Organize and oversee/provide/perform data entry into ADP HR system.
  • Support Employee Recruitment program including job postings, interviewing, selecting and hiring employees.
  • Establish an in-house employee training system that addresses company training needs including training needs assessment, new employee orientation & onboarding, and management development.
  • Maintain the Company's benefit programs (health, dental, vision, life, disability, etc. including enrolling and terminating employee's participating in the Benefit Programs, reconciling Benefit Program payroll deductions and monthly invoicing from Benefit Program vendors, and participate in the negotiation and renewal of the Company's Benefit Programs.
  • Work with Benefits Manager on internal employee Benefit Program questions, prepare and lead seminars to inform employees of the various aspects of the Benefit Programs and any available incentive programs.
  • Conduct investigations when employee complaints or concerns are brought forth.
  • Review, approve and ensure implementation of personnel actions.
  • Review employee appeals through the company complaint procedure.
  • Review, guide, and approve management recommendations for employment terminations.
  • Prepare and/or manage the preparation of personnel-related government reports.
  • Participate in executive, management, and company staff meetings and attends other meetings and seminars.
  • Maintain ongoing education and training in HR regulations, federal and multi-jurisdiction requirements.
